NASA Classic Tournament: August 25-26, 2007 |
| Registration Coordinator |
Registration Coordinator - is responsible for setting up and organizing the tournament registration process. It involves working with the Tournament Director and Volunteer Committee to obtain registration materials and volunteers to register teams entering the tournament. This position requires an on-site commitment during the entire registration period which could run from 7:00am - 10pm for Classic Tournament, and 8am - 12pm for other tournaments. This responsibility can be shared and is recommended as a team event to support entire registration process. |
| Registration Assistance |
Registration Assistance - Work with Registration Coordinator (based on volunteer commitment) to man a station during registration day. You will sign-in teams as they arrive for registration. Verify payment, player passes, medical waivers and other pertinent information per tournament instructions. (Minimum 2-hour shift recommended). |
| Sponsorship Coordinator |
Sponsorship Coordinator - this is for anyone who can bring contributing sponsors to the tournaments. We are looking for sponsors who are willing to provide financial support and/or material items to our various tournaments and events. In exchange, NASA can offer certain levels of exposure based on the sponsor’s level of contribution. Contact the club board or tournament director for further information. |
| T-Shirt Coordinator |
T-shirt Coordinator - Responsible for tracking t-shirts orders, processing any pre-orders from teams, and setting up pre-sales at tournament registration. Shirts must also be distributed to the various tournament sites, and re-grouped Saturday evening for redistribution to the sites based on sizing and inventory needs. (Our goal is to sell as many shirts as possible and that often means moving shirts from the different sites for Sunday sales). This position often requires lifting and transporting of large boxes of shirts but assistance will be provided when necessary. |
| T-Shirt Sales Assistance |
T-shirt Sales Assistance - Volunteers (usually two per table) will sell shirts, collect money, track shirts sold (running inventory) of sizes during their shift (usually 2 hours). T-shirt sales tables are usually manned at the main tournament clubhouse or field location at each venue, which is sometimes convenient for watching games. |
| Field & Site Preparation |
Field & Site Preparation - Field lining is done by staff, but the flagging, table and tent setup are handled by a group of volunteers at each venue. This work is usually done Friday (day before) the tournament starts and games begin early Saturday a.m. The Site Director(s) should ensure that all equipment is returned to the club after the event ends. (check site schedules to determine the times for set up and tear down of the venues). |
| Site & Asst. Site Director(s) |
Site and Assistant Site Directors - This team is primarily responsible for the operation of the venue, beginning with pre-tournament planning, including site director meetings to gather supplies and obtain operational instructions. In addition, the site director works with the various team managers and the volunteer coordinator - using volunteer lists to schedule volunteers for the various jobs at the venue. Site directors will monitor the work of the field marshals and the t-shirt sales people and control of any funds. In addition, the site director distributes game cards to referees and retrieves completed game cards from them. Scores from the completed game cards are then reported to the scoring personnel. Chits from the bottom of the game cards are retained and secured and payment is made to the referees (usually at the end of their completed daily shifts). Lastly, the site director should open and close (and secure) the venue if necessary. |
| Field Marshal |
Field Marshal - Field Marshals are the eyes and ears for the site director during tournament play. They watch to make sure games begin on time and, if necessary, encourage referees to adhere to the schedules. Field Marshals also help enforce the rules of the venue. (for example: If a park does not permit pets on-site, the FM will ask offenders to remove their pets from the venue). The FM also watches for inappropriate conduct by spectators. (Player conduct during a game is the responsibility of the referee). Field Marshals are frequently asked to assist Site Directors with the collection of "game cards" at the completion of a match (Game cards are collected from the referees after the winning team’s coach has signed the card). These cards are turned in to the Site Director for reporting scores to the central tournament venue. Many FM responsibilities can be accomplished while watching specific games at smaller sites. However, at larger sites, it is not recommended that this task be done while your team is playing as you may have to address issues at other fields. |
| Volunteer Coordinator |
Volunteer Coordinator - This position requires good organizational and communication skills. This is for a person who can accumulate all of the "volunteer offers" and work with the site directors to ensure that the tasks and time slots are filled for the various tournament sites. This person should be able to work efficiently with email and a computer based program (MS Excel or Access) to organize the volunteer effort. The majority of this task can be done via computer, however, some phone calls may be necessary. |
